Configuration of Absence Quota Generation for a Year

Updated May 18, 2018

Dear Experts,

Please help me to configure Absence Quota generation (PT_QTA00) to generate 6 number of SL & CL for year (Jan to Dec) for each employee.

I would also like to know to configure prorate basis CL & SL i.e. when employee joins in the month of July, this t.code should generate 3 number of SL & CL.

Thanks

    Hi,

You create the absences, then create absence quotas then go and configure
items in table V_T559L. While configuring the selection rule give the
accrual entitlement as prorata calculation to prorate as per the date of
    joining of employee.

    Thanks,

Your suggestion worked. But this generated two rows of SL only. CL quota is not generated.
Could you please guide me where I might have done mistake!

Your requirement is quite easy, I hope you have created two quota's CL and SL and absence types tied to it.

Go to V_T559L table by choosing employee subgroup grouping and Personnel subarea grouping ,

Go to Base Entitlement : you can give the base entitlements , in your case its 6 , give it as constant ,

Related to period : If you choose calendar year, your base entitlement 6 will be divided by 365 days, if you choose accrual period daily(selection rules), 6 will be

divided by 12 months if you choose accrual period Month

Go to selection rules , you can see many tabs,

Accrual period : You can give daily if you want quota's to be generated daily. If you choose month, quotas will be generated only at the end of month, Time evaluation period. PT60 date period,

Base Entitlements : in your requirement 6, Accrual Entitelment : choose Pro rate calculation and no multiplication , transfer time: choose upon accural

Total Entitlements : if you have rounding rule any, choose it and leave it

Choose appropriate IT7 time status and run the time evaluation. It will work.

    Thanks

    Thanks for your detailed reply.
I have checked these values in the table as you have mentioned. But when I execute t.code Pt_qta00, system displays only SL balance in two rows. I want CL in one row & SL in second row.

Let me tell you one more that I am not generating through Time Evaluation but executing PT_qta00 in the month of January to generate 6 each CL & SL for existing active employees.

    Thanks

Definitely, there is problem with Your configuration, I need to have a look on that, Would you explain in detail. What have you done on configuration,

You have chosen no generation only na for both quotas in table V_556A_B

    Thanks

If you are confident on configuration then please recheck as it appears you have create? ?sick leave config twice. Steps mentioned by bharat are correct

Yes, I have clicked on option 'No generation only' for both leave types in table V_556A_B

In table V_T559L, for required ESG grouping & PSG grouping & CL & SL quotas,

    Tabs

'Applicability" has entry date 01.01.1800 to 31.12.9999, degree of challenge - to 100%
    Accrual period: has 'Month'
Base entitlement: Rule for base entitlement (001), Number (06), Unit (days), Base period (calendar year), key date for determining seniority & age (for exact day)
Accrual entitlement: Pro rata calculation, No Multiplication, Reduction rule, reduction quota
Total Entitlement: has rounding rule & max entitlement as 6 & settlement for entitlement quota is clicked.

You might have copied the SL quota and created it twice please recheck your
configuration. For CL follow the same procedures as you did for SL.

If you are having any further problems please check all your groupings by
    running the report RPTQUOTA_CHECK.

This is very useful report. Thanks

I executed this report for an employee with 'generation by rptqta00 report & default values'

System displayed both parameters for CL & SL

I saw one difference - under Rounding Rules (T559R)
SL has Accrual Entitlement only, where as CL has both Accrual & Total Entitlements

I was one difference in Rounding Rules (T559R)
