There is no need to define in license data tab in su01. You can use as per your requirement.

License data can be updated throught T-Code: USMM --> User Classification Button.

This data is require for SAP License Audit.

I have a question concerning assignment of a license category based on the SAP transaction codes assigned to a SAP security role assigned to a user master record. Does SAP have any guidelines on what license to assign based on a specific transaction code? We are currently using the price list "mySAP.com Solution Suite" and are using the following licenses within the "mySAP.com Solution Suite" - mySAP.com Cat. II/Professional (ID 52), mySAP:com Cat. III/Ltd Pro. (ID 53) and mySAP.com Cat. IV/Employee (ID 54). We are looking to roll out a new project for Time and Attendance and there will be a set of users who will approve the time entry data using transaciton code "CAT4". We are planning to use our standard 'mySAP.com Cat. IV/Employee" licenses for both employees input their time and the approvers of the time data using CAT4. Is there any documentation in SAP on which license category should be assigned based on a SAP transaction code?

The Employees, who input their time should be Cat 4 Employee type License and the approvers should be having Cat3 License type.

Some of the simple steps which can be taken for reducing the license cost is the following

    1. Locking users for inactivity on a regular basis

    2. Making sure users are classified across all the system by proper license type

    3. Having the the same first and last name in all the systems

    4. Turning on the parameter so users cannot have multiple logons
